[PT2021] Clinical Education Updates

Dear Students,

We recognize this has been a challenging 8 months for you.  The DPT program is challenging enough as it is without the extra constraints of a pandemic.  Your Clinical Education Team hopes all is progressing well and you are looking forward to completing your didactic work this winter and early spring prior to  changing to full-time clinical environment in April.  We want to provide information on upcoming clinical education news and expectations.  Please review the following updates and expectations carefully and be prepared to complete required training and actions in a timely manner.

The time to prepare for your first full-time clinical experience is here!


  *   Flu shots are due October 2nd
     *   See certificate upload instructions below for EXXAT APPROVE



  *   Annual training for BBP, HIPAA, and general inprocessing for clinicals will occur through an online training program offered by the NC Area Health Education Communities or "AHEC" website.  You completed this last year so should be familiar with the process.
     *   Training will occur in January in order to provide compliance with DPT 802 and 804, and any onsite special experiences scheduled by your instructors at clinics as part of your class requirements.
        *   Ms. Shewmaker will be sending the instructions in late fall.
        *   There will be detailed information on how to access the link and associated due dates.
        *   The free training will produce a certificate that must be provided to our team in the new EXXAT Approve portal.



  *   Annual Testing: drug tests and background checks late January and due February 1st
     *   Testing will be administered by our new partner, Universal Background
     *   This company will send you a link directly to your school email with instructions on payment and testing
     *   Universal will automatically upload results to EXXAT for you



  *   Updated Biosketches for DPT 802 and 804
     *   Students must add current courses as "in progress", and change others to completed
     *   Do not change your photo
        *   The professional photo from orientation is required
     *   If you have a name change, please update
     *   Complete each semester



  *   CPR training
     *   Renewal of CPR through American Heart for Healthcare Providers will be required in the upcoming months.
     *   Due to COVID-19, we cannot hold a full course onsite as in the past
     *   We are evaluating testing options and will provide more information in the next few weeks



  *   Updated Insurance and Personal Information
     *   In the new EXXAT APPROVE portal, you will be prompted to give an updated copy of your health insurance card showing current coverage
     *   Personal information:
        *   There is a new form in EXXAT APPROVE that requires emergency contact info, your last 4 of SSN and other miscellaneous information needed by clinical inprocessing


  *   EXXAT APPROVE
     *   DPT Clinical Education is adding a new health document and monitoring system through EXXAT called APPROVE
     *   Your cohort has already accessed EXXAT as it has been used for two years in full-time clinical placements
     *   The EXXAT APPROVE system will serve as a repository for your medical and required clinical records
        *   It replaces Magnus where you previously uploaded documents
        *   Unlike Magnus, once you enroll in APPROVE, you always can access your records!
     *   APPROVE works collaboratively with Universal so that background checks and drug screens are automatically uploaded to EXXAT for review
     *   What to expect with EXXAT APPROVE:
        *   You have been added to EXXAT APPROVE as a current DPT student
        *   There is a small fee for the service that you will pay online prior to initiating document uploads
           *   This is what provides ongoing access to you after graduation
        *   You will receive emails from EXXAT with instructions on uploading all documents required and their associated due dates


  *   Impact of Grades and Probation on DPT 802 or 804
     *   Please refer to the CPHS DPT Academic Standards Policy on pg. 98 of the Handbook
        *   "Students, who fail to maintain good academic standing at the completion of a semester prior to a semester requiring a clinical experience(s), cannot participate in the full-time experience(s) portion of a semester. The student would need to undergo a remedial course of study, with successful completion, prior to engaging in the experience(s)s (DPT 800,802, 804). In the event remediation is not successful, students cannot progress to the clinical experience(s)."
     *   Any student with concerns related to academic performance can contact Dr. Shearin for more information

As you can see, there are many time sensitive requirements due in the upcoming weeks.  Please read emails carefully and respond appropriately.

Good Morning!

A few updates from the Clinical Education Team:

  *   Flu shots are due October 2nd
     *   We have received an email from a classmate asking about uploading your flu shots into Exxat.  Please hold onto your proof of vaccination until the new portal is available in Exxat for your medical records.
     *   Exxat has your required records but has not yet completed the portal.
  *   DPT 802 & 804
     *   Ms. Shewmaker is finalizing the remaining slot requests and has been communicating with individual students on status of assignment.
     *   If a change occurs with your placement, you will be notified to begin the search for an alternate slot


  *   Future training needs
     *   Later in the fall you will receive a link for the annual HIPAA and BBP training.  This is done online.
     *   CPR: we are evaluating the most practical method for achieving compliance with CPR training while large group events are not allowed.


  *   Good news:
     *   We are thankful that labs are progressing which allows us to stay on track for attending clinicals.
     *   Most clinics are back in business with primarily in-person treatments.

Dear Students,

The Clinical Education Team wants to update you on several important items related to your clinicals next year.  We want to respect your concerns about having timely information during this period of going virtual.  Items for review or action:

  *   Placements for DPT 802 and 804
     *   Ms. Shewmaker has sent an email updating everyone about the status of their third year clinicals.
        *   Those of you with a developing Upstream site will receive follow-up as soon as received.
     *   Remember that changes can occur but we will make every effort to find comparable slots if needed.
  *   Required action: Flu shots
     *   All students are required to have a flu shot in the fall by October 2nd.
        *   You will need to provide proof of vaccination by Monday, October 5th in the Exxat system.
        *   Several contracts for clinical partners are now mandating the due date so plan accordingly.
        *   Since we are not on campus, you can either make an appointment at the CU Health Center or go to a pharmacy or personal provider.
  *   Future training needs
     *   We will send information on necessary repeated training for CPR, HIPAA and BBP as soon as the plan is finalized.
  *   Good news:
     *   Third year clinicals are going well.  More clinical sites are reopening currently and have developed detailed COVID-19 plans to allow student participation!
